Managing People
This article explores how to add and edit Person records, cancel a Person from an Event, and set up VIP notifications to improve data management.

Person Record Navigation
Each Person record contains several tabs that display detailed information about the person and their engagement across the event. Below is an overview of what each tab includes.
Details
This tab is most frequently used when updating personal details or verifying attendee information.
A comprehensive overview of a person’s profile, including:
- Basic Information: First Name, Last Name, Job Title, Company, Email, Mobile
- Profile Photo: this can be uploaded by the attendee via Community
- Categories: (e.g., Attendee, Staff, Sponsor)
- Custom Fields: event-specific data fields (e.g., Country, Industry, Dietary Requirements)
Entitlements
Shows everything the attendee is entitled to access or receive.
Restricted Session Entitlements
A list of restricted sessions the person can attend, with the option to remove access. Click the + to add Session Entitlements.
Item Entitlements
A list of items the attendee is entitled to (e.g., merchandise, meal tickets), including:
- Item name
- Collected / not collected
- Remove option
- Source (e.g., registration form, manual assignment)
Click the + to add Item Entitlements.
Interactions
A chronological list of all interactions associated with the person. This includes:
- Interaction Type
- Interaction Name
- Interaction Date/Time
Interactions can include badge print, Session entry, Sponsor lead scans and engagement with Touchpoints.
Sessions Attended
Displays all Session attendance associated with the person:
- Session Name
- Session Access Type
- Attended status
Use this tab to confirm whether someone checked into a Session.
Engagement Scoring
Shows a visual representation of the person’s overall participation rate across the event as a bar graph illustrating engagement percentage and can be useful for understanding high-value leads or highly active attendees.
Note: This requires configuration of the Engagement Scoring model.
Community
Summarises the person’s Community activity, including:
- A chart summarising Community Interactions
- A chronological list of Community Block interactions, such as Live Stream views, Vendor pages visited, Q&A, files downloaded
Email Messages
Lists all email messages sent to this person. Includes:
- Email subject
- Send status
- Delivery metadata
Helpful for validating whether key communications were delivered or opened.
Notes
A simple text area used to record internal notes about the person, such as:
- Lead quality
- Meeting follow-ups
- Issues raised at Help Desk
No formatting is supported - this tab is for captured observations only.
Advanced
Provides deeper controls and insights, including:
Privacy
- Option to unsubscribe/resubscribe the person from SMS
Advanced Details
- e-Ticket Status:
- Sent via SMS
- Sent via email
- Opened
- Added to Wallet (shows whether the attendee successfully added their e-Ticket to Apple Wallet as part of the full digital ticket journey)
- Import Type - how the person’s record was created in Jomablue (e.g., online free registration)
- Community profile options:
- Whether the person has logged into Community for this event
- Whether they are discoverable for networking
Add a new Person
Steps to add a New Person:
- Log into Jomablue portal
- Go to People in the left navigation menu
- Select the New Person button at the top right of the page
- Populate the required fields
- Select a Category
- Press Save
When adding a new Person, filling in as many fields as possible is important. This ensures data consistency and accuracy if collected by a Vendor as a lead.
Minimum required fields:
- First Name
- Last Name
- Category selection
Minimum recommended fields:
- First Name
- Last Name
- Job Title
- Company
- Mobile
- Category selection
Note: Country codes must be included when entering international Mobile numbers. Alternatively, you can click the flag icon to select the country code.
Duplicate Records
The following error message appears when attempting to create a new Person Record that matches an existing record:
Search for a Person
To find a specific Person record, you can search using various fields. Results will be dynamically displayed as you type, showing the 10 most relevant results.
Search options:
- First Name
- Last Name
- First Name + Last Name
- Company
If you are unsure who you are looking for, try using the Advanced Search feature (this requires a Trusted role).
Edit a Person
Occasionally, updates may need to be made to a person’s details, such as:
- Spelling of names, Job Titles or Company
- Email address
- Mobile number
- Category
Once you have selected a Person record, you can edit the displayed fields. Remember to click Save before navigating away from the page.

Note:
- Some custom fields may be configured as non-editable
- Use the Notes tab to add relevant notes for a specific Person (this is a text-only field without formatting)
Cancel a Person from an Event
- Navigate to People and use the search field to find the Person you wish to cancel
- Click on the Actions dropdown
- Click on the Cancel Event Registration option
- The Person is now cancelled from the Event.

Impact of the Cancellation:
Any previously issued e-Ticket will no longer work at Event Check-in
The previously issued Jomablue Smart Badge will no longer work
Impact of the cancellation in Community:
- The Person will be unable to log in to the Community
- If they are cancelled while logged in, they will be immediately logged off if they attempt to navigate away from the Page or refresh it
- If they are watching a Session without interacting, it will take about 60 seconds to log off
The following message will be displayed to someone who is cancelled when attempting to log in to a Community:
Re-enable a cancelled Attendee:
- Navigate to People and use the search field to find the Person you wish to re-enable
- Click on the Actions dropdown
- Click on the Reverse Cancellation of Event Registration option
- The Person is now enabled to attend the Event.
VIP arrival notifications
You or another designated person can receive notifications when VIPs arrive at the event. This feature is particularly useful for Account Managers who want to personally meet specific attendees.
Once Arrival Notifications are set up, an SMS is automatically sent to the assigned recipient, typically within 5 seconds of printing the VIP’s name badge. The SMS will include the Person’s First Name, Last Name and contact number for easy communication.
Enabling VIP notifications:
To set up Arrival Notifications, ensure that the person receiving the notification is listed as a participant in the Event and has a valid mobile number in their Person record
- Search for the Person via People in the left navigation menu
- Click on the Actions dropdown
- Select the Arrival Notifications option
- Search for the Person intended to receive the notification
- Return to Step 4 if additional people are to receive the Arrival Notification
- Close the pop-up and press Save to update the record
Note: You can remove a recipient of a notification from the Arrival Notification pop-up.
Best Practices
You can send Arrival Notifications to multiple recipients; however, it is advisable to be selective. When notifications are sent to more than one person, there is a risk of confusion, with individuals assuming someone else will take action. This can result in no one responding.
For maximum effectiveness, consider notifying only one person - the individual who absolutely needs to know or act upon the VIP's arrival.
Limitations
There is no limit to the number of Arrival Notifications you can enable. However, it is best to use this feature thoughtfully. If numerous notifications come in simultaneously, the important ones might get overlooked. Focus on notifying only the attendees who truly need to be informed, such as Keynote Speakers or Media representatives.
