Email Templates
Email Templates will help you save time and enable you to communicate efficiently with your Attendees, Sponsors and Staff while maintaining consistent branding. They are easily designed and managed with the email template editor.
Users can generate Email Templates for Sessions, e-Tickets, Touchpoints, Registration Reminders, Surveys and General event emails. Once the Template is created it can be applied to Campaigns within the same event or saved as a Starter Template for use in other events.
Create a new Email Template
Templates are created and applied to a specific Event of your choice. To create a new Email Template, navigate to Event Configuration > Templates and click the New Email button. A drop-down menu will appear with the available types of Email Templates:
- Session - Session Templates are used to generate Emails to be sent to Attendees after they have checked in to a Session.
- Event General - Event General Templates are used to generate generic Emails that can be sent to Attendees via General Campaigns.
- Event Ticket - Event Ticket Templates are used to send e-Ticket links to your Attendees through e-Ticket Send Campaigns before your Event. This template includes a QR code for scanning upon arrival.
- Touchpoint - Touchpoint Templates are used to send content, surveys, or any other information you wish to convey to your Attendees when they tap their Smart Badge on a Touchpoint
- Registration Reminder - Registration Reminder Templates generate Registration Reminder emails - these emails are sent to people who have ordered one or more Products but have not activated them.
- Survey - Survey Email Templates are used to generate emails that contain a link to a Post-Event Survey.

Note: Customers cannot provide their own custom HTML for campaigns in Jomablue. All email templates within Jomablue Campaigns must be created using the Email Editor. Custom HTML Email Templates are only available for Vendor emails.
Tips and Tricks
- When naming your Template, include details for quick recognition. For example:
- Registration Reminder - 7 days prior
- Know Before You Go - Delegates
- e-Ticket - Staff
- e-Ticket - Delegates.
- Survey post-event
- Survey reminder - 2 days after
- The Type of Template will also be displayed in the list of available Templates.
Create an Email from a Starter Template
You can use Starter Templates as a foundation for building a new Email Template. These Starter Templates are pre-configured Templates that are ready for customisation.
- To find the Starter Templates, go to Event Configuration > Templates in the left-hand menu
- Click on the New Email button at the top right
- Choose the type of Email Template you wish to create
- Select the Start from a saved Starter Template option, and you will see a list of available Starter Templates available for that type of email
- There is also an option to Show all Templates if you want to explore other Types
- Locate the desired Starter Template by referring to its Name and Description on the left or by using the Preview button on the right side
- Click Use Template on the right side of the record to create an email in the current event
- Edit the Template as needed
- Select Save to exit
Note: Starter Templates are accessible for the duration of your Jomablue subscription. Once your subscription expires, Starter Templates and any other instance data will be deleted.
Template General Settings
Upon creating any new Email Template, you'll see the general Template settings that are common across all Template types:
- Type - the type of Template selected. This is set upon the selection in the New Email Content button menu and cannot be changed.
- Name - The name of the template itself. It’s important to give your template a meaningful name.
- Subject - the subject line of the Email generated from this Template.
- Status - the status drop-down can be set to either "Pending" or "Approved.” This is for internal purposes only as it serves simply as a visual indicator and does not affect the template’s behaviour. We recommend setting the Template to "Pending" until it has been approved internally by your organisation.
Once these options are set, you can edit the Template itself by clicking on the Edit Template button at the top right of the page.
Email Template Editor
We use an industry-leading email template editor to make creating emails easy. The providers of this editor conduct regular testing on all the latest email clients to ensure maximum deliverability and proper rendering on all commonly used devices for reading emails.
Depending on the type of Email Template you select, the Email Template editor will be pre-filled with a sample email suitable for that type. The editor features a drag-and-drop WYSIWYG (What You See Is What You Get) interface. You can drag elements from the content section on the right-hand side of the editor to populate the Template.
In the Actions menu at the top-left of the editor, a Send Test Email option is available. Selecting this option allows you to enter an email address to which a test email will be sent.
Note: Although the merge tags such as *PERSON_FIRST_NAME* are accessible in the editor, the text "[Customer Contact Details]" will not be replaced automatically. You need to replace that text with the appropriate contact details yourself.
Merge Tag Availability
The following Email Template types can utilise the following Merge Tags:
- Session: SESSION_NAME, PERSON_FIRST_NAME
Event General: PERSON_FIRST_NAME, PERSON_LAST_NAME, PERSON_COMPANY, PERSON_EMAIL, PERSON_MOBILE, PRODUCT_NAME - Event Ticket: PERSON_FIRST_NAME, PERSON_LAST_NAME, PERSON_COMPANY, TICKET_URL
- Touchpoint: PERSON_FIRST_NAME
- Registration Reminder: EVENT_NAME, PASSCODE, ORDER_URL
- Survey: PERSON_FIRST_NAME, PERSON_LAST_NAME, PERSON_COMPANY, SURVEY_URL
Note: The Merge Tag of PERSON_FIRST_NAME is also available for use in a Vendor Email Template accessed via the Vendor Portal.
Special Link Availability
The following Email Template types can utilise the following Special Links:
- Event General - Support (for use with Triggered Registration Confirmation Campaigns only)
- Event Ticket - Ticket (e-Ticket URL)
- Registration Reminder - Order (Order URL)
- Survey - Survey (Survey URL)
Dynamic Content - Purchased Product Information
In the Content menu on the right side of the editor, a Dynamic Content block is available for dragging into your Email Template. This block provides Purchased Product Information. The image below illustrates the block once added to the Email Template.
This block will display the Product Name in bold, along with any inclusions of that Product, such as the Admission Name and all Items included, as shown in the image below.
Note: The format of this dynamic content is static, which means no custom formatting (e.g., bold, italic, font type, font size, etc.) is available. Additionally, the padding on this content cannot be edited directly. It is recommended to add the content to a unique row in the Email Template editor and then add padding to the row itself.
Unsubscribe from Emails
All Templates contain the "Unsubscribe" Special link, allowing the user to unsubscribe that email address from all Jomablue-sent communications. This Special link can be replaced by a custom Unsubscribe link; however, the Unsubscribe functionality must remain mandatory and cannot be removed.
Add files to Email Templates
Attachments can be added to emails sent from Jomablue. To add a file, follow these steps:
- Insert a button from the Content tab on the right side of the email editor.
- Click on the button to focus on it, then select Link file in the Content Properties view on the right-hand side of the editor.
- Upload a file via the File Manager.
- Click Insert to apply the file to the button.
Note: The maximum file size for the File Manager is 12 MB. However, if you expect attendees to view the files on their mobile devices, it is best to keep the files as small as possible (recommended under 2 MB). Larger files may be slow to download or display on some devices.
You can also add links to the content in the email; these links will open in a new window.
Archiving Templates
After an event or when you need to remove a Template that's no longer needed, you can archive it. To do this, simply press the Archive button located on the right side of the record. If you want to view and restore archived Templates, toggle the Show Archived button.
Preview an Email Template
While editing the Template, you can preview it as you go by clicking the Actions button located at the top left of the editor. A dropdown menu will appear; select Preview. This will open Preview mode, where you can view your template in two formats: desktop view and mobile view. Use the icons at the top right of the preview area to switch between them.
Once you have saved your Email Template, you can click on the Template, and a preview will be readily available on the right side, as shown below:
Test an Email Template
To test an Email Template, select the Template you want to test. Click the Edit Template button, which will open up the editor window. In the top left corner, click the Actions button, then select Send Test from the dropdown menu. A pop-up will appear where you can enter the email address to which you want to send the test email. Click OK to receive a test email with the Template you created.
Additional notes
- Custom Email Sender IDs for communications must be configured before the event. For additional information see the article: SMS and Email Sender IDs.
- Jomablue uses industry-leading, tested Email Templates, regularly tested across multiple operating systems and email clients. However, different email clients render HTML differently, which means it is not possible to guarantee that an Email Template will appear the same across all clients. Additionally, buttons may not always display correctly depending on the email client being used. Therefore, we recommend including a text-based hyperlink as a backup in case the button does not display correctly. Suggested text for the hyperlink could be, “Please click here to access the event.”
