Session Check-in using the Jomablue Omnia App

Record attendee participation at specific sessions using the Jomablue Omnia App. On-site staff scan attendee badges at the session entry point and every scan is instantly recorded in the Jomablue Portal.

Getting Started

Before going onsite

Confirm the following are already set up in the Portal:

Sessions have been created

Authenticate a Device

Each device must be authenticated to your event before it can be used for scanning. You'll need the authentication QR code from the Portal.

In the Portal

Go to Settings in the top menu bar
Select the Omnia tab
Locate the authentication QR code
The QR code refreshes every 15 seconds
Each device requires its own QR code scan
Select Generate New QR Code if needed

On the Device

Open the Jomablue Omnia App
Tap Scan QR Code
Scan the QR code displayed in the Portal
Select your Event

Start the Session Check-in

Once authenticated, configure the device for the correct location:

1Select Session as the mode
2Select the Location (the room where the Session will run)
3Tap Start Session Check-in
4Begin scanning attendee badge QR codes
Important: Selecting the correct Location is critical. If the wrong Location is selected, check-ins will be recorded against the incorrect session, resulting in inaccurate attendance data and reporting errors.
Note: The device will automatically display the active Session for that Location based on the event schedule. No manual session switching is required.

Device Screens

When using the Jomablue Omnia App, the screens displayed will vary based on the type of Session and the mode the device is in.

Unrestricted Session Check-in

If a Session is not restricted, any attendee can successfully check in. The device will display a success confirmation screen upon scanning a valid badge.

Restricted Session Check-in

For Restricted Sessions, the device will display different screens depending on whether the attendee is entitled to attend:

Scan result What it means Action required
Success Attendee is entitled to attend Allow entry
Warning Attendee is NOT entitled to attend Direct attendee to the Help Desk
Warning: If a warning appears, tap OK to acknowledge and do not allow entry unless it is confirmed that the attendee is allowed entry. The warning screen displays customisable text — for example, "See information desk" can be replaced with any message that suits your event's workflow.

Onsite Operations

Check-out Mode

Check-out mode allows staff to record when attendees exit a session. A single device can handle both check-in and check-out.

When to use check-out

When you need to track how long attendees stay in a session
When using Inferred Session functionality

When NOT to use check-out

When only entry tracking is needed

To switch to check-out mode:

1Tap the check-out toggle button on the device screen
2Scan the attendee badge QR code as normal
Note: Check-out mode is only available if Log Exit has been enabled for that Location in the Portal.

Restricted Sessions and Override Mode

For Restricted Sessions, the Jomablue Omnia App will automatically validate attendee eligibility at the point of scan. If an unauthorised attendee attempts to check in, a warning screen is displayed.

Override Mode allows staff to manually permit an unentitled attendee into a Restricted Session. This feature must first be enabled in the Portal before it can be used on the device.

Important: The Override button will only appear during the check-in buffer and while the Session is ongoing.

To enable Override

1Tap the three dots (⋯) in the top-right corner of the device
2Toggle Override On
3A clear indicator will appear on screen confirming Override is active
4Scan the attendee badge to allow entry

To disable Override

1Tap the three dots (⋯) in the top-right corner
2Toggle Override Off
Note: Override should only be active when an authorised representative is present. Disable Override immediately after use to prevent unauthorised access. If the staff member at the door is not authorised to make override decisions, do not enable this mode.

Reconfigure a Device to a Different Location

If a device needs to be reassigned to a different location during the event:

1Tap the three dots (⋯) in the top-right corner
2Select Exit Mode
3Enter PIN (found in Portal → SettingsOmnia)
4Select the new Location
5Tap Start Session Check-in

Before each Session opens

Run through these checks before attendees arrive at the door:

Device is authenticated and showing the correct event
Correct Location is selected on the Device
Active Session is displaying correctly on the Device screen
Device has a strong internet connection (test in the specific room; venue dead spots are common)
Backup Wi-Fi network is configured on the Device
Check-out mode is toggled correctly for this Session (on or off as needed)
Override Mode is off unless an authorised representative is present

Troubleshooting

Frequently Asked Questions

Does the Device need to be online at all times during scanning?

A stable connection is strongly recommended. Test connectivity in the specific room before the Session opens, as venues often have dead spots. Configure a backup Wi-Fi network on the device as a precaution. If connectivity cannot be guaranteed, the app supports Offline Mode, which allows scanning to continue without an active connection. Ensure all scans are synced to the Portal at the end of the Session to keep attendance records accurate.

Can one device handle both check-in and check-out for the same session?

Yes. A single device at a location can toggle between check-in and check-out modes using the button on the Device screen.

An attendee got a warning on the restricted session scan. What do I do?

Direct the attendee to the Help Desk. Do not allow entry unless you are authorised and Override Mode is appropriate to use. Tap OK on the device to acknowledge the warning.

Can I use Override Mode for every restricted session warning?

No. Override should only be used when an authorised representative is present on-site and has approved the exception. Disable Override immediately after use.

The Device is showing the wrong Session. What happened?

The Device displays Sessions based on the Location selected. If the wrong Session is showing, the Device may be assigned to the wrong Location, or the Session may not be linked to the correct Location in the Portal. Exit Mode, enter the PIN (found in Portal → Settings → Omnia) and reselect the correct Location.

Do I need to manually switch Sessions on the device between back-to-back Sessions?

No. The Jomablue Omnia App automatically displays the current active session for the selected Location based on the event schedule. No manual switching is needed.

What happens if I scan an attendee badge at the wrong location?

The attendance record will be logged against the incorrect Session. This affects reporting accuracy and session validation. Always verify the correct Location is selected before scanning begins.

The QR code disappeared before I could scan it. What do I do?

The authentication QR code refreshes every 15 seconds. Return to Portal → Settings → Omnia tab and scan the latest code displayed. You can also generate a new one using the Generate New QR Code button.

Can multiple Devices be authenticated using the same QR code?

No. Each device requires its own QR code authentication; one scan per device.

What's the PIN to exit mode and reconfigure a device?

The PIN can be found by navigating to Settings and then Omnia from the Jomablue Portal. Use this PIN to exit the current mode and reassign the device to a different Location.

Can the warning message shown on restricted session scans be changed?

Yes. The text displayed when an unauthorised attendee scans — for example, "See information desk" — can be customised with any message that suits your event's operational needs.
