Communicating Lead Capture Features to Vendors

This section applies only to Vendors with the Vendor Portal enabled.

Lead Capture is a valuable tool for enhancing vendor engagement. If you are offering lead capture at your event either as part of the package or as an add-on, it’s important to promote it.

Here’s some sample text you can use in vendor materials or emails to highlight the benefits of lead capture. This assumes that vendors have the option to order or purchase a Lead Capture device before the event. If this option is not available, please remove these references.

Additionally, you might find it useful to share a short video that describes the basic operations of the device they will receive on-site.

What is a Lead Capture Device?

Every attendee at the event will receive a Smart Badge (lanyard) upon arrival. This Smart Badge features the attendee’s name and a built-in technology used throughout the event. Vendors (Exhibitors and Sponsors) have the opportunity to participate in this integrated event solution at the event. You will receive a slim 6-inch, 4G/5G-enabled device to use during the event. By tapping an attendee’s Smart Badge on the device, you can unlock their contact information and capture them as a lead. It’s easy to use - no bar codes, QR codes, or app installations required. Simply hold the device, tap the attendee’s Smart Badge, and they’re instantly captured as a lead.

What you need to do

Once your device order is confirmed, you may be given a unique private URL. This site will allow you to create Email Templates. After setting up the Email Templates, you can easily send that content from the lead capture device to your leads. All emails are sent from an event-related domain (e.g., buildingconf@event.io). You are free to customise the subject line and all email content.

We offer a default Email Template which you can modify. You can create as many emails as you like, and they can be easily selected from your Lead Capture device. When setting up an Email Template you will need to enter an email nickname (up to 60 characters) that will be displayed on the Lead Capture device, an Email Subject (up to 190 characters), and the body content of the email.

In addition to the Template, we support full HTML emails, allowing you to fully customise the content to suit your existing email communications. If you choose to provide your own Email Template, you are responsible for the entire HTML email, including inline styles, which should start and end with <html> tags.

Using multiple Lead Capture devices

When using multiple lead capture devices, they can be configured in two different ways:

  • All linked to the same Vendor profile
  • Linked to multiple Vendor profiles

Same Vendor Profile

If you are using multiple Lead Capture devices under a single profile, they will be treated as the same device. This means:

  • You will only need to export the list of captured leads once; the link will contain all leads captured on that profile.
  • Tags and Email Templates are common across all devices
  • Leads captured on any device will be visible in the Lead History on all devices

Multiple Vendor Profiles

If you're capturing leads at more than one location during an event (for example, at a booth, and a coffee cart), it is recommended to request multiple Vendor profiles. This approach allows you to:

  • Export captured leads per profile. The link provided in your Lead Capture Email will only grant access to the leads captured on the device(s) associated with the profile from which the leads were exported.
  • Use different email domains for lead exports. If you require leads from different devices to be sent to different email addresses, this can be achieved by using separate profiles.
  • Keep Tags, Email Templates, and other settings separate for different devices. This is particularly useful if you wish to use different Lead Tags and Email Templates in various locations.
  • Maintain distinct Lead histories per profile. This makes it easier to locate previously captured leads for updates.

Use Cases

Here are some examples of different use cases:

Separate Vendor Profiles

Max has ordered four Lead Capture devices for an expo. He plans to use two at his company's booth and two at the sponsored coffee cart. To keep the leads captured at the coffee cart separate from those captured at his booth, he has requested two different Vendor profiles – one for the booth and one for the cart. At the end of the event, he will need to perform two Lead Data Exports: one from the device at the booth and one from the device at the cart, in order to download all leads captured at both locations.

Same Vendor Profile

Maxine has ordered three Lead Capture devices for her booth at an expo. The booth is expected to be busy, but all the devices will be used in the same location for the same purpose. In this case, she only needs one Vendor profile since the Lead history will be common across all the devices. At the end of the event, she will only need to export the Lead data from one device to download all the Leads captured.

Multiple Badge Taps

When an attendee's Smart Badge is tapped multiple times, whether on the same device or across different devices within the same Vendor profile, the existing Lead information will display on the device’s screen. Any tags or notes taken will be preserved and can be edited, and previously sent emails will be indicated.

Understand 'Link Expired' when exporting Leads

If you click the Export Leads link in your email and are directed to a warning page, this is expected behaviour. The link in the email is a one-time use link, intended for security to protect your data.

If you encounter this message, you can request a new link by clicking the Email New Link button. This will send you a new email with a fresh link, which will also expire after one use.

Note: You cannot request a new link more than 30 days after the event.

Whitelist

If you see the expired link message but are confident you haven't used it, your organisation’s email or content filter is likely blocking something necessary for the export process. We recommend contacting your IT department and providing the following information (in blue). This will assist them in whitelisting our services so you can successfully download your Leads.

Subject: Whitelist Request for Jomablue services

Jomablue is our technology provider for onsite Lead Capture during [Event Name]. We currently use their devices to capture leads at the event. However, when attempting to export the leads, our email, website, or download is being blocked.
Could you please allow the following to ensure we can retrieve leads from Jomablue's systems successfully?

1. Whitelist event-email.io for emails
An email is sent from this domain that contains a unique long link. This link will be from a jomablue.com subdomain (e.g., acme.jomablue.com) with long query string parameters that are required and can't be truncated.

2. Whitelist *.jomablue.com for webpage/download files access
The above email directs users to a hosted page on a jomablue.com subdomain (the exact subdomain can be provided on request). On this page, a user will click a link to download a CSV file. This link will have a lengthy URL with appended query string parameters.

For data security, the links provided in the email and on the page are single-use. If any systems or services are following these links and pre-rendering or validating them, it will cause the link to be invalid for the user. They will need to start the process again, potentially leading to repeated 'link has expired' messages. We recommend disabling these features for the above domains and ensuring that if any URL rewrites occur, the entire URL, including all parameters, is included.

Here are some frequently asked questions regarding Jomablue’s Lead Capture devices. Please note that these do not pertain to the use of the Capture App (available for download on the App or Play Stores).

Q: How do I use my Lead Capture device?

Q: How do I access the Email Templates to send to Leads?

A: Email Templates can be accessed from a lead record in a box titled Select an email. Tap to activate the dropdown menu, which will display your email options.


If you don't see the dropdown menu, it may be due to this functionality not being activated for your event, or you haven’t created any Email Templates yet. You can still email your leads from your CSV download via other platforms.

Q: Will the battery last for the entire event?

A: It depends on the duration of the event and how frequently you use the device. If you notice the battery getting low, please alert the Jomablue team. Jomablue also has remote access to the device’s battery level and will be alerted when the battery reaches 40%.

Q: How do I access my Leads?

A: In the device menu, locate the Export Leads option. Your company's email domain will be pre-configured, so you only need to enter your email prefix (usually your name). For example, if your email address is "max@jomablue.com," then your prefix is "max".


Enter your email prefix, and tap Send Secure URL. An email containing a link will be sent to your email inbox. This link will direct you to a page with a single-use download link, allowing you to download your leads as a CSV file. The link is updated in real-time, so when you click on it, you will download a CSV that includes all the leads captured up until that point.

If the download link has already been used but you have captured more leads or need the file again, you'll need to send a new email from your Lead Capture Device or request a new link from the "link expired" page (see below). As indicated on the page, it will send a new link to the same email address where the original link was sent.



Q: What if I haven’t received my Email with the Link to download my Leads?

A: Sometimes email messages can end up in Junk. Please check and move them to your inbox, as this helps your spam filters learn. If you are sure the email address was entered correctly, ask your IT department to check for quarantined emails and to whitelist the 'jomablue.com' and 'event-email.io' domain names.

Q: How long are my Leads available to download?

A: Your lead export will be available for download for 30 days after the event’s end date. After this period, you will no longer be able to access them.
